EMAIL SIGNATURE


One of the most cost effective and often overlooked methods of promoting your business and website is an email signature, which can be attached to the base of every email message you send. And best of all, they are totally free.

Every email program such as Microsoft Outlook, Outlook Express and even Hotmail, give you the option to add a signature to the bottom of your email. Email signatures can be in basic text, use graphics and html, or use email stationery which can make your email message look like it was typed on your company letterhead.

A business email signature should include all of the details from your business card, such as:

  • Your name
  • Your position
  • Business name
  • Business address
  • Business phone numbers, fax numbers and your mobile number
  • Web address and email address

This means that all of your contact details are not only readily available for your email recipient, it also means your details are available to anyone they forward (Instant referral with your business card attached) the email to as well.  Remember, email is now the preferred customer contact method, in the world thus it is essential to ensure that you reinforce your company's brand or corporate identity.  So how do you set them up?

Following are step by step instructions for how to setup an email signature in Microsoft Outlook, and Microsoft Outlook Express:

Microsoft Outlook
To setup your email signature in Microsoft Outlook do the following: 

  • From the main menu, select Tools, Options, then click on the Mail Format tab
  • At the bottom where it says Signature, click on the button that says "Signature"
  • Hit New
  • Enter the name of your signature (your business name is good to use)
  • Choose start with a blank signature
  • Hit Next
  • Type your signature text in the box.
  • Use the font button to change font, color, etc.
  • Hit the finish button when you are done
  • Hit ok
  • Where it says "Use this signature by default" make sure that the name of the signature you just created
    is selected
  • Hit ok
  • New create a new mail message and give it a test!
  • After seeing it, you may want to go tweak till you get it just right.

Microsoft Outlook Express
To setup your email signature in Microsoft Outlook Express do the following:

  • From the main menu, select Tools, Options, then click on the Signatures tab
  • Signatures #1 Default Signature 
  • Edit Signature
  • Type your signature in here, as you would like it to appear.
    (TIP - Type it up in notepad, as you would like it, then copy and paste)
  • Hit OK
  • Hit New Mail to view your signature.
  • After seeing it, you may want to go tweak till you get it just right
